Overview

Embassies worldwide were losing critical hours searching for contact information across scattered Excel files, handwritten notes, and business cards, risking diplomatic errors where a single mistake could have political consequences.

The solution reduced contact search time by 99%, from hours to seconds, eliminated data duplication entirely, and was compelling enough that embassies committed as customers before development was complete.

My Role

Design Lead at Nvoye, leading the design of the centralized Relationship Management System that became the cornerstone of the Embassy Event Management platform.

The Contact Directory, the heart of the platform

Embassies have no centralized, secure, and accessible contact management system

User Pain Points

After interviewing 15+ event planning diplomats, we identified the users' pain points.

Pain point 01

While organizing events we spent hours locating and verifying contact details instead of building relationships

Pain point 02

Sometimes we forget special requirements like accessibility needs or national holiday greetings because they are written in notes

Pain point 03

Outdated or incomplete records were leading to significant errors in email addresses

Existing solutions and the challenge

01

Manual Excel sheets on individual staff computers

02

Paper lists and handwritten notes

03

Business cards in drawers

04

PDFs and outdated files in shared drives

Why this mattered

Event preparation time was wasted on administrative hunting instead of relationship building. For diplomats, that is not just inefficient, it is a missed opportunity to strengthen ties.

Existing solutions were inefficient, error prone, and lacked diplomatic protocol features.

Discovery and Research

Four design principles that shaped every feature

Synthesized from the research.

01 · Centralization

One secure and safe platform for all contacts and their management

02 · Discoverability

Fast and advanced search by name, country, organization, and role is required

03 · Security over speed

A safe and secure platform to save the personal information of diplomats

04 · Context-rich profiles

Notes and history for personalization

Team

Designed an end-to-end centralized, secure, and scalable system for diplomatic contacts.

01. Built a dashboard with different views, so diplomats can find contacts quickly

By introducing a grid view, users can see more contacts on a single screen compared to the list view. Dedicated metrics provide a clear overview and context.

The impact

This allows diplomats to understand the number of contacts available before delving into who they are.

02. Created context-rich profiles to enable personalized contact management

Profiles carry notes, tags, and personal and professional info fields. A 2-tier contact system was incorporated: an individual profile, and an organization profile with detailed information on associated contacts.

Individual profile

Context-rich detailed profile view with notes, history, and advanced tags for fast discoverability
Individual profile

The impact

This allows diplomats to easily search and filter contacts based on the type of contact they are, and reduces the search time. Advanced tags by name, country, organization, and type of profile enable fast discoverability.

03. Designed a bulk import system with validation to migrate 1000+ contacts, securely and error free

A robust contact import and contact creation system, where users can import 1000's of contacts from Excel files or PDFs, or create contacts manually. A security wall validates and verifies all imported contacts and removes duplicated contacts, and verified contacts are updated in the contact directory.

The impact

1000's of contacts can be imported in a few seconds, from anywhere, in any format of file, without any manual effort.

Key Learnings and Reflections

This project taught me that the best design solutions emerge when you challenge your assumptions early and often.

Key takeaways

Small touches create big trust

Features like notes, for example dietary requirement needs, build confidence in the system

Security trumps speed

In sensitive diplomatic contexts, taking extra time for encryption is essential

User feedback is gold

It turned my assumption into a genuinely user-centered product

Progressive disclosure works

Minimal info upfront, detailed views on demand, reduced cognitive load
