Overview
Embassies worldwide were losing critical hours searching for contact information across scattered Excel files, handwritten notes, and business cards—risking diplomatic errors where a single mistake could have political consequences.
As Design Lead at Nvoye, I spearheaded the design of a centralized Relationship Management System that became the cornerstone of their Embassy Event Management platform.
The solution reduced contact search time by 99% (from hours to seconds), eliminated data duplication entirely, and was compelling enough that embassies committed as customers before development was complete.
Impact
Delivered faster search, zero duplication of contacts, and pre-launch customer commitment from the Embassy Client.
THE PROBLEM
Embassies have no centralized, secure, and accessible contact/relationship management system.
Currently relying on
Manual Excel sheets on individual staff computers
Handwritten notes and business cards
PDFs and outdated files in shared drives
Why this matters
Event preparation time was wasted on administrative hunting instead of relationship building. For diplomats, that's not just inefficient, it's a missed opportunity to strengthen ties.
Existing solutions were inefficient, error-prone, and lacked diplomatic protocol features.
THE SOLUTION
Designed an end-to-end centralized, secure, and scalable system for diplomatic contacts.

Built a dashboard with different views, so diplomats can find any contact in seconds

Created context-rich profiles with notes, tags, and personal, and professional info fields to enable personalized contact management
The incorporation of different types of profiles, advanced tags, and filter options based on the type of contact helps to reduce the search time and improve discoverability.

Designed a bulk import system with validation to migrate 1000+ contacts, securely and error-free
Upload your file of contacts
Security wall to validate and verify all imported contacts and remove duplicated contacts
Verified contacts will be updated on the contact management dashboard
RETROSPECTIVE
This project taught me that the best design solutions emerge when you challenge your assumptions early and often.
